Lego didn’t just replace Jay; they surprised Luka with something special. A customer service rep named Richard responded quickly, telling Luka he had talked to (Ninjago Spinjitzu Master) Sensei Wu:

“He told me to tell you, ‘Luka, your father seems like a very wise man. You must always protect your Ninjago minifigures like the dragons protect the Weapons of Spinjitzu.’ Sensei Wu also told me it was okay if I sent you a new Jay and told me it would be okay if I included something extra for you because anyone that saves their Christmas money to buy the Ultrasonic Raider must be a really big Ninjago fan.

“So, I hope you enjoy your Jay minifigure with all his weapons. You will actually have the only Jay minifigure that combines 3 different Jays into one! Richard’s response was so creative it went viral. Lego surprised Luke and won the hearts of families worldwide.

Best Practices for Managing Meetings Remotely

Perhaps you’ve recently become a “Zoomer” yourself: video-conferencing for the first time or managing the majority of your business remotely.

Whether you’re a tech pro or you are brand new to online meetings, everyone faces video-based communication challenges. Here are a few tips to make your online meetings a bit better:

1. Put Your Best Foot Forward

Often when we’re at home, we get a bit slumpy with our hygiene.  Before your meeting, take a minute to freshen up and to inspect your viewing area. Make sure the light is shining toward you (not from behind you) and that you sit in front of plain walls or more simple backgrounds. Some platforms will also allow you to enable HD options and click a “touch up my appearance” feature, which can smooth out wrinkles and blemishes in a flattering way.

2. Test in Advance

Before starting your meeting, preview your audio settings.  If you’re just using your laptop speaker and microphone, there’s not much to adjust. But if you’ve got a mic-headset combo you’d like to use, make sure it’s the audio is selected for both the Speaker and Microphone options before you start your call.

3. Have Participants Mute Themselves

When people aren’t speaking, their microphones can pick up minor background noises like chewing, sniffles, or typing.  Even laughter from meeting participants can break up the audio flow, so ask people to mute themselves whenever they’re not talking.

4. Designate a Moderator

The 2019 State of Remote Work report found that interruptions and being talked over are two of the biggest challenges for remote meetings.

To maximize group discussion, it’s best if a moderator calls on people individually and asks others to hold comments unless they indicate they’d like to speak. Some software has a “raise hand” feature, or you can establish on-camera signals that indicate when participants are ready to share. Chat boxes can also be used to type comments.

Finally, consider saving 10 minutes at the end of the meeting for additional comments or questions.

5. Have Some Fun

Part of the enjoyment of work is social connections. “When you are used to being in person and have to be online, build in room for chitchat,” says Erica Kuhl, a consultant who has devoted years to nurturing online training communities.

Through this unprecedented season, what are some of the best ways to navigate your professional challenges?

“I Feel Your Pain”

Empathy is one of the best starting points.  Defined as “the ability to understand and share the feelings of another,” empathy allows you to comprehend what another person is experiencing or to put yourself in their position.

Empathy is the ability to perceive a situation from another person’s frame of reference, and possibly to experience the emotions that go with that. Empathy is different from just “being kind” because empathy is a powerful tool that allows you to truly understand points of view that are vastly different than yours. A person leading with empathy is more aware of overworked employees, overtaxed customers, or solutions that another person may overlook.

The benefits of empathy are huge. A recent nursing study showed that nurse managers who were perceived as empathetic could boost vitality and thriving environments in their teams. Empathetic leaders can communicate better with employees and customers, build bridges of trust, and can facilitate optimal employee performance and compliance. And this brings exponential gain: organizations with engaged employees have higher productivity, profitability, customer satisfaction, and loyalty.

1. Be Calm

During any crisis, people need their leaders to remain calm and to empathize with their thoughts or feelings.

While you may not share the emotions of your customers or employees, it’s ok to acknowledge feelings of anxiety or stress. 2. Be Flexible

With many people working from home (with kids in tow!), some employees may struggle.

Make their problem your problem.
Maya Angelou once said, “people will forget what you said, people forget what you did, but people will never forget how you made them feel.”

How does your messaging make people feel? Does it sound hard or templated? Or does it communicate true concern and a willingness to help? Your tone should sound something like this: “If it’s your problem, it’s my problem too, and we’ll work together to find a solution.”

Timing matters.
The relevance of your messaging applies not only to its topic but its timing. Sending pre-scheduled content with no regard to how it will land during hardships is a sure way to demonstrate you’ve lost touch with your base. If you say or do something, mean it!

Being criticized makes us feel worthless, painfully vulnerable to our own negative thoughts and unsure of our abilities. Some inexperienced managers think criticizing their employees will incentivize them to work faster and harder but, of course, we know this tactic is the absolutely wrong way to motivate employees.

Scientists speculate there is something instinctual, or innate, about our adverse reaction to even mild criticism. Just like the human body is hard-wired to instantly move into a “fight or flight” state when confronted by danger, our psychological self (psyche) reacts to criticism defensively. In other words, being physically struck closely parallels being verbally “struck.” Our heart and breathing rate increases and we may start perspiring as our internal temperature rises. Depending on the type and level of criticism we hear about ourselves, some people tremble, feel extremely anxious, and may even start crying.

How to Give Criticism Positively

Before you criticize a family member, friend or fellow worker, stop and think about how you could rephrase what you are going to say to sound more like constructive criticism.

Examples of constructive criticism include:

  • (When someone fails to complete a project on time): Next time we have a project to work on, we’ll make sure there are enough resources and time for you to finish it as planned. In fact, perhaps we can schedule the project in advance so you are not inundated with work?

As soon as you realize you are being criticized unconstructively, step away from your emotions by imagining yourself as a life-size cardboard cutout.

Remember that people who are criticized are usually doing something new, different, and possibly daring.

At the same time, there is no “silver bullet” method to communication that will instantly get everyone on the same page. Only by looking to your employees as individuals, and playing to their own individual strengths and preferences, will you finally be able to see the communication gains that you so richly deserve.

Let the Employee Be Your Guide

Perhaps the most important thing for you to understand is that communication no longer means face-to-face conversations, -or at least it doesn’t exclusively. This is particularly the case regarding introverted employees, a staple at any organization.

Just because Ryan from Accounting doesn’t like to speak up in meetings doesn’t mean that he lacks communication skills. It just means that speaking in front of a group isn’t necessarily his forte. Instead of trying to force Ryan to adapt to your wishes, consider how Ryan would prefer to communicate.

Emails, memos, texting, one-on-one meetings, phone calls: these are all viable options regarding getting ideas across in the modern era. As a business leader, it’s not your job to get everyone to communicate the way you want to just because you prefer looking someone in the eyes when you tell them what they need to do next. It’s your job to make a note of the conditions that a person excels under and then do whatever you can to facilitate those needs whenever possible.

Consider the fact that according to one survey, an incredible 46% of employees said that they “rarely, if ever” leave a meeting knowing exactly what they’re supposed to do next. This is the danger of a “one size fits all” approach to communication. You end up becoming something of a “jack of all trades, master of none.”

One study revealed that 26% of employees think email is a major productivity killer. But when you reverse that, it means that 74% of employees think email is just fine. But it’s important not to create an “either/or” situation where one doesn’t have to exist. If you know that Robert is going to get the information he needs from an email, send away. If you know that Brenda is the type of employee who needs to sit down and talk out her next objective in person, be sure you make time for her in your schedule.

It’s up to you to find the right communication method that works for the individual so that everyone can be on the same page when it comes to contributing to the whole. 

It’s important to remember that according to a recent Gallup poll, 70% of employees in the United States said that they just weren’t engaged in work anymore. Creating an environment of open and honest communication is one of the keys to combating this issue head on. But you must also remember that no two employees are created equally.  An approach that works great for getting one employee to open up and become engaged in their work may be woefully inadequate for the next.

Only by making an effort to communicate on a case-by-case basis will you be able to generate a workplace where success is no longer a question of “if” but “when.”

According to research, the earliest reference was associated with circus ponies used to perform a trick or feat that impressed audiences. The ponies involved could do an amazing act, such as walking on their hind feet, but that was all they could do. Eventually, the audiences got bored with the show. In one version of the story, a pony had a dog partner that would ride on it. While the audience got sick of seeing the pony do the same thing every time the circus was in town, the dog gained fame because it learned and began to perform new tricks. In time, the dog became the star, and the pony was relegated to hauling circus carts.

Is Your Business A One-Trick Pony?

The moral of the story here is not to allow your business to get stuck on only one good thing. It’s tempting to think that if you have something good going, why ruin it? Well, over time that good thing will become less and less popular. The number of customers who want it will diminish and the business will have to start cutting prices to keep it attractive. Eventually, the product or service won’t sell at all.

Palm PDAs and Blackberry were both perfect examples of the one-trick pony mistake. They both had a really good product for a while, but both companies failed to upgrade and develop new products. Eventually, someone else did, and their customer base walked away. Those text screens on a Blackberry and similarly on a Palm PDA simply looked old and obsolete versus smartphones like the original Apple iPhone. The world had changed.

It’s Time to Diversify

Is your business riding the wave right now of a star pony? If so, now is the time to be looking for and generating a new path. Diversify into a new product or new service. Not only does it protect your business’ longevity, but multiple revenue streams from different customers will eventually offset each other when one of them starts to weaken.

Companies that map out their product/service life cycle and plan for eventual loss with replacement “ponies” are the firms that survive and grow. Don’t let all your energy, money, time, and effort go down the drain with a one-trick pony. Instead, use the initial success to be your springboard for the next one.
